Prepare the content before exporting
Review the chosen SKUs, product quantities, complete set count and any branding requirements. Keep each option independently priced and identify pending custom components or packaging. If a branded visual is needed, request it with the appropriate logo reference; do not assume a new mockup is required for every export. A presentation should preserve useful known estimates while making missing information explicit. Avoid adding filler pages simply to make the file appear more substantial.
Check the actual generated file
A file still being prepared is not ready to send. Once the PDF is available, open it and inspect the title, selected products, quantities, currency and estimate labels. Check that Arabic and English wording appears as intended where used, and that important notes are not lost. Read the result as a client would: can someone who did not join the conversation distinguish the preferred option from alternatives and identify costs that remain pending?
A hypothetical revision after export
An agency downloads a proposal for 100 sets, then the client increases the count to 140 and requests a different pen. Update the private project, verify all affected quantities and estimates, and prepare a new PDF. The earlier downloaded copy remains a historical file and does not change automatically. Use a clear project-and-date filename in your own records, and tell reviewers which version replaces the previous one. Check the new file rather than relying only on the edited conversation.
Treat the exported file as a dated record
Name downloaded files in a way that identifies the project and revision date in your own records. Keep the final sent copy so you can later establish which quantities and assumptions the reviewer saw. When replacing a file, mention the material change rather than sending a new attachment without explanation. Check that the file opens on the device likely to be used in the meeting and that key numbers are readable at a normal zoom. These practical checks make the PDF a dependable review document rather than merely an exported asset.
Before you move forward
- Review current products, quantities and estimate labels.
- Wait for the actual file to become available.
- Open and inspect the PDF before sharing.
- Regenerate it after material project changes.
Common questions
Must I give contact details before receiving a PDF?
The planning workflow allows a useful presentation and PDF before contact capture. Contact and delivery details become relevant when requesting a formal quotation and follow-up.
Is the PDF an official quotation?
No. The studio presentation contains planning estimates unless separately confirmed through the formal quotation process. Request the team’s official quotation for the selected scope.
